At SYEDS Consultancy, we understand that the information you share with us — passports, bank statements, employment letters, and other personal documents — is among the most sensitive material you can hand to anyone. This policy explains, in plain language, what we collect, why we need it, how we protect it, and the limits we place on ourselves in handling it.
SYEDS Consultancy is a short-stay visa consultancy registered and operating in Islamabad, Pakistan. Our office is located at Office 113, 1st Floor, Capital Business Center, F-10 Markaz, Islamabad. We provide advisory and document preparation services to individuals applying for tourist, business, family-visit, spouse, and short-term visas to countries including the UK, USA, Canada, Schengen states, and others.
We are not a law firm. We are consultants who assist clients in preparing complete, well-organised visa applications. Final visa decisions rest exclusively with the relevant embassy or high commission.
To prepare and submit a visa application on your behalf, we typically collect the following:
We collect only what a specific visa application genuinely requires. We do not ask for information beyond what is needed.
Your information is used solely for the following purposes:
Visa application preparation
Compiling, reviewing, and organising your documents in accordance with the requirements of the target embassy or consulate.
Client communication
Contacting you to request missing documents, confirm appointments, or update you on the status of your application.
Compliance with embassy requirements
Submitting your application package to the designated embassy, VFS Global centre, or authorised visa application centre on your behalf.
We do not use your information for:
All physical documents you hand to us are kept in our Islamabad office under controlled access. Digital copies are stored on office systems that are not accessible over the public internet. We do not use cloud-based file sharing services to store your documents.
Staff access to client files is limited to the consultant(s) directly handling your application. Documents belonging to one client are never mixed with or made accessible to another.
Physical documents submitted to us are either returned to you after submission of your application or retained only for the duration stated in Section 6 below, after which they are securely destroyed.
We do not sell, rent, or share your personal information or documents with any third party for commercial, promotional, or any other purpose.

The target embassy or consulate
Your complete application package is submitted directly to the diplomatic mission of the destination country. This is the core service we provide.
Authorised visa application centres
Centres such as VFS Global, TLScontact, or BLS International that are officially contracted by embassies to receive and forward applications on their behalf.
Courier and logistics companies
When physical documents must be dispatched for attestation or embassy submission, a reputable courier service may be used. In such cases, only the necessary documents — never complete passport copies without authorisation — are entrusted to them.
All such disclosures are made solely because they are operationally necessary to process your visa application. Your data does not leave our hands for any other reason.
We retain copies of your application documents for a period of 12 months following the conclusion of your case (whether approved, refused, or withdrawn). This period exists so that we can assist you if a follow-up, appeal, or reapplication is required.
After 12 months, all physical copies are shredded and digital copies are permanently deleted. If you would like your documents returned or deleted sooner, simply contact us and we will act on your request within five working days.

We may update this policy periodically to reflect changes in our practices or applicable regulations. Material changes will be communicated to active clients by email or WhatsApp. The date at the top of this page always reflects when the policy was last revised.
